Robert Half Administrative Assistant in Irving, Texas

Description We are looking for an efficient Administrative Assistant to join our team in the construction industry, located in Irving, Texas. The successful candidate will be instrumental in maintaining the smooth running of the office and field operations, providing support to both office and field staff through a range of administrative duties. This role offers a contract to hire employment opportunity.

Responsibilities:

• Answer, screen, and route calls on a multi-line phone system

• Greet, assist, and announce visitors

• Oversee the opening and closing of the office according to standard office hours

• Maintain conference room and conference call calendars

• Monitor, log, and route all incoming mail and overnight packages

• Ensure that the Team Shifts itinerary is completed daily

• Keep the lobby, conference rooms, break room, and other general meeting areas tidy and fully stocked

• Order office and breakroom supplies as needed/requested

• Arrange lunches for meetings as required

• Order business cards for new hires or other employees as needed

• Assist with swag inventory and OSHA new hire item tracking

• Track company car keys and calendar

• Update and maintain accuracy of the Sharepoint Master Phone List and Office Extension List

• Handle various tasks associated with the Onboarding/Offboarding process

• Assist as needed with events, meetings, vendors, and activities

• Undertake other administrative or general office support duties as needed or assigned. Requirements • Must have proven work experience as an Administrative Assistant within the construction/contractor industry

• Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook)

• Strong organizational skills with the ability to multitask

• Excellent verbal and written communication skills

• Ability to work independently and as part of a team

• High level of accuracy and attention to detail

• Ability to handle sensitive and confidential information with discretion

• Prior experience in managing office supplies and equipment

• Strong problem-solving abilities

• Familiarity with construction/contractor industry terminology and practices

• Ability to adapt to changing work environments and schedules

• High school diploma or equivalent; additional qualifications in Office Administration are a plus.
