Description

PURPOSE OF POSITION:

Under the direction of the Manager-Human Resources or designee, provides technical and administrative support for all functional areas of HR, including benefits, compensation, recruitment, safety, and training.

ESSENTIAL JOB FUNCTIONS:

1.Performs administrative support such as data entry, reconciling and paying invoices, entering requisitions.

2.Assists with weekly entries and runs routine queries and reports in the Human Capital Management System (HCMS).

3.Performs a variety of tasks using Microsoft Office products and other software. Creates non-routine correspondence, memos, and reports.

4.Responds to inquiries from colleagues and visitors requiring an understanding of department policies and procedures. Ensures inquiries are addressed and resolved. Work may involve that of a highly confidential nature and care should be taken to make sure it remains confidential.

5.Verifies and prepares weekly payroll.

6.Reconciles monthly Procurement Card statements.

7.Processes purchase orders.

8.Orders office supplies and places orders with storeroom and the print shop. Distributes mail, files, copies, scans, and shreds for the department.

9.Schedules meetings, including navigating schedules and locations to avoid conflicts. Acts as contact person for outside room reservation requests.

10.Maintains confidential personnel and benefits records. Identifies the need for, creates, and maintains filing systems and monitors efficiency. Develops processes to reduce paperwork using technology.

11.Administers and processes employee reimbursement for safety shoes and glasses.

12.Responsible for ordering, tracking, and distributing Service Awards, retirement gifts, and recognition letters.

13.Performs other related duties as required or assigned by management.

QUALIFICATIONS:

Education and Experience:

AA/AS in Business Administration or a related field and four years of recent responsible administrative experience is required. Exceptional experience and/or business-related college coursework may be considered in lieu of a two-year degree on a year-for-year basis. Recent Human Resources experience is preferred. Recent Workday experience is preferred.

Licensing/Certification:

Must be a notary public or able to obtain a notary commission within the first 12 months of employment.

Knowledge, Skills, and Abilities:

  • Advanced proficiency in navigating Microsoft Office (Word, Excel, and Power Point) to enter data, set up functions, create spreadsheets and word documents, and process information.

  • Proficient at administrative support functions.

  • Excellent oral and written communication skills, including knowledge of grammar and punctuation.

  • Exceptional customer service skills including the ability to interact with people in a positive and courteous manner.

  • Strong attention to detail skills.

  • Ability to:

  • Learn specific computer programs (HRIS systems, accounting programs, etc.)

  • Work independently, multi-task, work under pressure, and meet multiple deadlines.

  • Handle sensitive information in a highly confidential manner.

Physical Requirements:

Typically, sedentary work. Ability to express or exchange ideas by means of the spoken word and receive detailed information through oral communication. Substantial movements of the wrists, hands, and/or fingers, and close visual acuity to operate a computer. Bending and stooping may be required for filing and file retrieval. Must be able to work in stressful situations involving employees.

Working Conditions:

Normal office environment.

  • Employee must remain alert and aware of their surroundings at all times and maintain the ability to respond to changing circumstances in a timely manner.
